Key Responsibilities

  1. Oversee administrative operations within the rehabilitation center, ensuring smooth coordination of staff and related personnel to support patient care and clinic functions.
  2. Manage key office systems and processes, including budgeting, payroll, expenses, scheduling, filing, inventory, contracts, and supplies, ensuring compliance with health industry standards and regulations.
  3. Coordinate and manage conference room schedules, ensuring efficient use of space for meetings and therapy sessions while maintaining a welcoming environment for patients and guests.
  4. Develop and maintain a positive and productive work environment in the office, promoting collaboration between rehabilitation professionals, staff, and patients.
  5. Maintain an organized and well-stocked inventory of office supplies, including medical and therapy-related materials, ensuring the clinic is always prepared for daily operations.
  6. Manage patient inquiries and follow up on new leads from various sources, maintaining the internal CRM database to ensure accurate patient records and service requests.
  7. Identify opportunities for operational improvements and implement new systems and processes to enhance our efficiency, patient care, and employee satisfaction.
  8. Assist in achieving financial goals by preparing the center’s annual budget, scheduling expenditures, analyzing financial variances, and recommending corrective actions to ensure financial stability.
  9. Research industry trends, emerging treatments, and events to stay informed about new tools, techniques, and best practices in rehabilitation and healthcare management.
  10. Supervise junior administrative staff, assisting with recruitment, onboarding, and training of new team members to ensure high-quality patient service and a collaborative work environment.

 

Qualifications & Skills

  1. College diploma is required, preferably in business administration and management or other related fields.
  2. Minimum 1-2 years of experience related to office administration, preferably with experience in a mid/senior-level position.
  3. Must be proficient in Microsoft Office (Excel, Word, PowerPoint, etc.) and other standard office tools, and have the eagerness to learn.
  4. Positive and professional attitude while being detail-oriented, organized, and attention to detail.
  5. Strong problem-solving and multitasking skills, organizational and time management skills.
  6. Ability to handle matters proactively, expeditiously, and judiciously.
  7. Excellent interpersonal skills, written and verbal communication skills in English.
  8. Ability to supervise staff and lead team members.
